Overview of project/role

Transport for London (TfL) runs dozens of projects at any one time all over the Capital to improve the journeys of London's residents and visitors, including improvements to London Underground, London Buses, London Overground, the DLR and London’s roads. We are delivering major projects such as the Silvertown Tunnel and have delivered the iconic Elizabeth Line.

We’re now seeking a Support Manager to join our exciting Chief Capital Office. Capital’s purpose is to build and drive whole life asset solutions. There are exciting times ahead as we continue to deliver the Silvertown Tunnel project, Old Street roundabout as well as working with our Engineering, TfL PMO and Construction colleagues.

We adopt a one team approach in Capital Admin and share resources across Capital to achieve project efficiency. You’ll be responsible for providing effective and efficient support to Capital, and the relevant Director or ‘Head of’ in an area to which you’ll be assigned. You’ll provide calendar management, meeting coordination, communications and deadline tracking, amongst other duties.

You’ll enable the smooth running of the department by supporting all aspects of day-to-day operations as required and contribute to the successful operation and teamwork of the overall Admin support function, by implementing best practice principles and values across the Administration Support team.

You’ll be flexible in moving to similar Support Manager roles, throughout Capital, to enhance knowledge and skills base as and when required, across multiple office locations.

Key Accountabilities

Your duties will include, but not be limited to:

  • Build great relationships with all stakeholders, work well with people from all levels (internally and externally) to provide effective and efficient support to the relevant Director/Head of/MPD Director's office
  • Follow up actions on key deliverables and deadline tracking support to the relevant manager(s) for all aspects of the project and department’s workload, forward planning, budgeting and financial management, actions and deadline tracking, training, prioritising workload to achieve a high-functioning environment
  • Keep up to date with organisational and procedural changes, generating new ideas to continuously improve the office. Communicate to the department where appropriate and adjust internal procedures as well as foster positive external and internal communications with all stakeholders
  • Work on specific projects with the team undertaking research and analysis where and when required
  • Project manage and support with regards the delivery of internal and external events. Schedule senior level periodic meetings for the department/project
  • Advise the department on matters concerning business services and implementation of corporate policies and the requirements of all central support functions. Keep up to date with organisational and procedural changes, contributing innovative solutions to continuously improve the office. Be responsible for all administrative support to the project in relation to health and safety, joiners, leavers and managing the induction process
  • Commission and co-ordinate all requirements for the provision of suitable accommodation/facilities for the project/department
  • Support Manager will be required to perform Line Manager responsibilities to the team’s Support Administrators from time to time and to ensure their workload is meeting the business needs

Knowledge

  • Knowledge of Microsoft Office including Word, Excel, Outlook and PowerPoint to intermediate level. (Essential)
  • Knowledge of TfL policies and procedures (Highly desirable)
  • Knowledge of the local processes/procedures (Desirable)
  • Knowledge of the TfL organisation (Desirable)
  • Wide and thorough knowledge of Capital & TfL organisational functions, main contractual relationships and regulatory framework (Desirable)

Experience

  • Substantial general office management and supervisory experience in a railway or other comparable industries e.g., transport/asset management (Essential)
  • Considerable experience of working in a support role to a senior manager and/or team in a large organisation (Essential)
  • Considerable experience of administrative and office management (Essential)
  • Experience of taking minutes at high level meetings (Essential)
  • Experience of organising structured communication events for large teams / audience (Essential)
  • Understanding the concept of project management (Desirable)
